Sales Administrator

Salary: £20,000-£25,000 depending on experience

Hours: 8am - 5pm


Job Purpose

  • To work efficiently and effectively within the Sales department managing multiple tasks and prioritising your own workload to ensure ATL and customer deadlines are met
  • Liaise with the sales and marketing team to ensure all general admin tasks are carried out efficiently
  • To liaise with the finance team to coordinate receivables and chase for payments


Main Duties

  • Ensure correct invoice/delivery terms are recorded on all documents and electronic systems prior to finalising shipment/invoice
  • Responsible for arranging the shipping/collection of goods - predominantly for outgoing goods but also incoming goods where required
  • Responsible for producing invoices and delivery notes
  • Responsible for ensuring export paperwork is produced in line with individual shipment/destination/customer requirements
  • Responsible for liaising with shippers and freight forwarders to manage ATL shipping services and pricing, seeking new reliable and cost-effective alternatives where necessary
  • Responsible for collecting payments from non-account customers
  • Responsible for checking that customer account limits and terms are adhered to before shipping goods
  • Responsible for ensuring ATL shipping services are correctly recharged to customers
  • Responding to general sales admin, including the processing of orders and incorporating all invoicing and shipping arrangements
  • Maintaining good relationships with customers, particularly purchasing, logistics and accounting departments
  • Responsible for the filing and archiving of sales order and export paperwork
  • General reception duties including welcoming guests, setting up the board room for meetings and answering telephone calls
  • Responsible for the franking machine and all outgoing mail
  • Make continual improvements suggestions and implement changes
  • Responsible for all aspects of credit control including bank receipts and reconciling accounts, receivables and sales ledger

  • Ownership of the shipping and invoicing functions from start to finish
  • Ownership of credit control
  • Must have strong attention to detail
  • Must have strong communication skills and able to work effectively in a team
  • Ability to monitor and complete multiple tasks
  • Willing to learn and be adaptable
  • Comfortable with regular stakeholder contact and dealing with individuals or organizations for whom English is not a first language
